Privacy Policy

Memoraxis ("Memoraxis", "we", "our", or "us") provides an AI-powered business memory platform that connects services such as Gmail, Outlook, Google Drive, OneDrive, Google Calendar, Microsoft Calendar, Microsoft Teams, WhatsApp, YouTube and Instagram.

This Privacy Policy explains what information we collect, how we use it, how we protect it, and the choices available to you.

When you connect a third-party service, Memoraxis accesses only the information authorized through that provider's own authorization flow. Depending on the integrations you enable, this may include:

• Gmail / Outlook — we never retrieve or store the contents of your emails. For Gmail and Outlook we read only the sender, subject, and the short preview the provider itself supplies.
• Google Calendar / Microsoft Calendar — calendar events and meeting information.
• Google Drive / OneDrive — documents and file metadata.
• Microsoft Teams — when enabled: chat and channel details, and the text of the most recent message in a conversation, of which a short excerpt is stored. The email statement above does not apply to Teams: a chat preview includes message content, not only metadata.
• YouTube — channel information, videos, comments, and related engagement information.
• Instagram — professional-account profile information, posts and reels, comments, insights, and messages where the relevant permissions have been granted.
• WhatsApp — your phone number and the information required to deliver your Morning Brief and messaging functionality.
• Account information — the name, email address and profile picture provided by the identity provider you sign in with, plus the workspace preferences and profile details you enter yourself.

We only access integrations that you explicitly connect.

We use connected information to provide Memoraxis features, including:

• Business Memory and the Memory Graph
• AI-powered search and chat over your own information
• Your Morning Brief and daily Command Center plan
• Email and conversation prioritization
• Meeting preparation
• Document and conversation analysis
• Instagram and YouTube Conversation Intelligence
• Identification of questions, opportunities, complaints, feedback, and other business signals
• AI-generated summaries and recommendations
• AI-assisted reply drafting, which you review before it is used
• Organization and business timelines

We do not use connected information to create advertising profiles, and we do not sell personal information.

Connected information may be processed by AI/ML systems and service providers that support Memoraxis. AI processing is used to generate the summaries, classifications, recommendations, search results and responses you request.

Content from your connected Google account — including email metadata, calendar events, and text extracted from documents — is processed by Google's Gemini API to generate summaries and insights. This processing is performed under paid-tier terms, under which Google does not use your content to train or improve its models. We do not use your Google Workspace data to develop, improve, or train generalized artificial intelligence or machine-learning models.

Memoraxis does not use your connected private data to train public AI models.

Memoraxis uses infrastructure and service providers to operate the platform, including cloud hosting, data storage and processing, authentication, and AI/ML processing providers. These providers process information only as necessary to provide Memoraxis services, and are subject to applicable contractual and security requirements.

We do not sell your information, and we do not share it with third parties for advertising or marketing purposes.

Connected data may be stored in Memoraxis to provide Business Memory, search, chat, analytics and other functionality you have requested. Data is retained while your account and the relevant integration remain active, unless a shorter retention period is required by applicable law or you request deletion.

Disconnecting an integration stops future synchronization from that provider. Information that was previously synchronized may remain in your Memoraxis account until it is removed using your deletion controls or through an account-deletion request.

If you were a Founding Member, we retain your membership number, the cohort you joined under, your locked price, and the months your membership was active. This record is linked to a one-way hashed identifier rather than your email address, so it cannot be used to identify or contact you, and exists solely to restore your membership if you return.

Memoraxis uses Google Analytics 4 to understand how the website and product are used — which pages are visited, how visitors arrive, and whether people successfully complete steps such as signing up, connecting an integration or starting a subscription. This is measurement of the Memoraxis product itself; it is not advertising, profiling or tracking you across other websites.

Google Analytics sets first-party cookies in your browser to recognise a returning visit and to group page views into a single session. These cookies are analytics cookies only, they contain a randomly generated identifier rather than anything that names you, and they expire within twelve months.

What analytics receives:

• The page being viewed, with identifiers removed — record, document, note and entity identifiers in a web address are replaced with a placeholder, and the entire query string is discarded before anything is sent
• Standard technical information your browser provides to any website: device and browser type, screen size, language, and an approximate location that Google derives from your IP address
• Product milestones, recorded as the name of the step only: for example that an account completed onboarding, that an integration of a named type (such as Gmail or Instagram) was connected, or that a subscription checkout completed

What analytics never receives:

• Any content from a connected account — no emails, email addresses, subjects or previews; no calendar events; no document names or contents; no comments or direct messages
• Anything you type into Memoraxis — no chat questions, AI answers, notes or briefs
• Your name, email address, phone number or profile photo
• Payment details of any kind — no card, UPI or PayPal information, and no payment tokens or secrets. Where a subscription is recorded as completed, only the order reference is included, so the same purchase is not counted twice
• Access tokens, refresh tokens or any other credential

Advertising features are switched off, not merely unused: Memoraxis instructs Google Analytics to deny advertising storage, advertising personalisation and advertising user data, to redact advertising identifiers, and to disable Google Signals. Analytics information is not used to build advertising audiences, and — as stated above — we do not sell your information or share it for advertising or marketing.

You can block or delete these cookies through your browser’s settings at any time, or install Google’s Analytics opt-out browser add-on. Memoraxis works exactly the same either way — nothing in the product depends on analytics.

Other cookies and browser storage used by Memoraxis are strictly necessary rather than analytical: they keep you signed in, remember your theme, and hold short-lived state during a sign-in or an app-connection flow.

You can:

• Connect or disconnect any integration, at any time, from Settings → Connected Apps
• Control optional features such as WhatsApp Morning Brief delivery
• Request deletion of your Memoraxis account and associated data
• Revoke the permissions you granted, at any time, directly with the relevant provider
• Contact Memoraxis about your personal information at support@memoraxisai.com

Disconnecting a single integration prevents any future synchronization from that provider — Memoraxis stops reading it. It does not by itself withdraw the authorization you granted at the provider, because a provider's services can share one authorization: withdrawing it for one would disconnect all of them. Deleting your account, or disconnecting all integrations, does withdraw it — see Data deletion.

When you connect an Instagram professional account, Memoraxis may receive information from Meta according to the permissions you approve. Depending on the permissions granted, this can include:

• Instagram professional-account information
• Posts and reels
• Comments
• Instagram insights
• Messages

Instagram information is used to provide the Instagram Workspace, Post Intelligence, Conversation Intelligence, audience analysis, recommendations and AI-assisted reply functionality.

Memoraxis does not sell Instagram data, and does not use it for advertising purposes unrelated to the Memoraxis functionality you have requested. Instagram data is deleted when you disconnect the integration and delete the associated Memoraxis data, or when you delete your Memoraxis account — see Data Deletion.

Memoraxis's use of information received from Google APIs adheres to the Google API Services User Data Policy, including the Limited Use requirements. Gmail, Calendar, Drive and YouTube data is used only to provide the user-facing features described in this policy, is never sold, and is never used for advertising.

You can review and revoke Memoraxis's access to your Google account at any time at myaccount.google.com/permissions.

We use reasonable technical and organizational safeguards to protect information against unauthorized access, disclosure, alteration or destruction. Access credentials and authentication tokens are protected using appropriate security controls, including encryption of stored provider tokens.

When you delete your account or disconnect all integrations, we revoke our access with the provider in addition to deleting the credentials we hold. Memoraxis will no longer appear in your Google account's list of connected applications.

You may request deletion of your Memoraxis account and associated information at any time. See our Data Deletion page for instructions and for what happens after a deletion request.

Memoraxis is a business productivity service intended for adults. It is not directed to children, and we do not knowingly collect personal information from children. If you believe a child has provided us with personal information, contact support@memoraxisai.com and we will delete it.

We may update this Privacy Policy as Memoraxis evolves. Material changes will be communicated through the service or by other appropriate means, and the "last updated" date above will change.
